How to write a factory-ready product brief.

A strong factory brief does not try to predict every answer. It makes the product intent, the non-negotiables, and the unknowns clear enough that a supplier can respond with a useful quote, the right questions, and an honest view of manufacturability.

A brief is a conversation starter with accountability.

Give a partner enough context to cost the right product. Then make it obvious which questions need a decision before a quote becomes a commitment.

Start with the product story

Describe the person, use case, and desired outcome before listing engineering detail. This helps a manufacturer understand the customer experience they are protecting when they suggest an alternative material, process, or tolerance.

Include the manufacturing essentials

A supplier needs enough detail to determine process, tooling, materials, labour, capacity, quality expectations, and risk. Put the current version of these inputs in one controlled package.

Product and parts

Provide assembly drawings, part drawings, CAD, BOM, dimensions, materials, finishes, colour references, and any critical tolerances.

Commercial scope

State the expected annual volume, first-run quantity, target unit cost if appropriate, tooling expectations, sample requirements, and desired timing.

Quality and compliance

Write the acceptance criteria, test methods, visual standards, required certifications, packaging requirements, and evidence you expect before release.

Open questions

Name the decisions you have not made. A factory can help solve them—but only if it knows they are open, rather than accidental omissions.

Be specific about what is controlled

Not every file has the same status. Label what is approved for quotation, what is a reference only, and what must not be used for production. Record the version date and owner for every core document.

Ask for a useful quote—not just a price

A meaningful quote lets the team compare partners without reverse-engineering a spreadsheet. Ask for unit cost, tooling, MOQ, lead time, capacity, payment terms, packaging assumptions, quality plan, and conditions that could change pricing.
